Overview

What this integration does

Enterprise sales organizations running Salesforce typically have strict expectations around data quality: field-level validation, assignment rules, record ownership, and audit trails. QualiBot’s Salesforce connector is built with those constraints in mind — it authenticates against your Salesforce org via API, and every WhatsApp-originated lead is created or matched against existing Lead, Contact or Opportunity records using your object model, not a simplified shadow of it.

As the AI qualification conversation runs, answers are written to the Salesforce fields you’ve mapped, honoring picklist values and required-field validation rules already configured in your org. Ownership follows your existing assignment rules — territory, round robin, or custom Apex-driven logic — so a WhatsApp lead lands with the same rep or queue it would if it had come in through a web form or import.

The conversation itself is logged as an Activity (Task or Event) against the record, and — because the update happens through the standard Salesforce API — any existing workflow rules, Process Builder flows or Flow automations your org relies on continue to fire normally, since they don’t distinguish between where a record update originated.

How the connection works

QualiBot connects to Salesforce via the standard Salesforce REST/Bulk API using OAuth (connected app), reading and writing Leads, Contacts, Opportunities and Activities according to your existing object model, field permissions and assignment rules. It is a genuine API connector — it does not bypass your governance, field-level security, or validation rules.

End to end

From message to CRM record

1
Lead messages on WhatsApp

A prospect messages your WhatsApp Business number or replies to an outbound template message.

2
QualiBot queries Salesforce for a match

The agent searches existing Leads and Contacts by phone and email using your org’s standard identifiers.

3
Record created or updated via API

A new Lead is created if no match exists; a matching record is updated instead, respecting field permissions.

4
Qualification writes to mapped fields

Answers from the AI conversation populate the Salesforce fields you’ve mapped, honoring picklists and validation rules.

5
Assignment rules apply

Ownership is set according to your existing Lead Assignment Rules or routing logic — territory, round robin, or custom criteria.

6
Activity logged, downstream automation fires

The conversation is logged as a Task/Event, and any Process Builder, Flow or workflow rules tied to the object continue to run as normal.

What you get

Built-in capabilities

Governance-respecting field writes

Updates go through the standard API and respect your field-level security, required fields and validation rules — nothing bypasses your org’s configuration.

Assignment rule compliance

New leads and updated ownership follow your existing Salesforce Assignment Rules rather than a separate routing layer.

Downstream automation compatibility

Because updates use the standard API, your existing Process Builder, Flow and workflow rule automations continue to trigger normally.

Full activity logging

Every WhatsApp conversation is logged as a Task or Event on the record, preserving an audit trail alongside other sales activity.

Opportunity stage progression

Where a Lead has converted to an Opportunity, qualification outcomes can move it through your existing sales stages.

Duplicate-safe matching

Inbound conversations are matched against existing Leads and Contacts by phone and email before any record is created.

Integration FAQ

Frequently asked questions

Does QualiBot bypass Salesforce validation rules or field-level security?

No. Updates go through the standard Salesforce API using your existing object model, so field-level security, required fields and validation rules apply exactly as they would for any other integration.

Will WhatsApp leads follow our existing Assignment Rules?

Yes. Ownership is set based on your org’s existing Assignment Rules or routing logic, so WhatsApp leads route the same way as leads from other channels.

Do our Process Builder / Flow automations still fire?

Yes. Because QualiBot updates records through the standard API, any automation tied to those objects continues to trigger normally — it does not distinguish the source of the update.

How does it avoid creating duplicate Leads or Contacts?

QualiBot checks for an existing match by phone number and email before deciding whether to create a new record or update an existing one.

Is the WhatsApp conversation logged for audit purposes?

Yes. Each conversation is logged as a Task or Event on the record with a timestamped transcript, alongside your other sales activity.

Can it update Opportunity stage?

Yes, where a Lead has converted to a linked Opportunity, qualification outcomes can advance it through your existing sales stages.

What’s required to set this up for an enterprise org?

A Connected App with the appropriate API scopes, field mapping confirmed against your object model, and a review of your Assignment Rules — most orgs validate this in a sandbox before promoting to production.
