Data mapping: what goes where

The first design decision is a field map: which pieces of information gathered in conversation correspond to which CRM field. For real estate this typically includes purpose (buy/rent), budget range, preferred area, unit type/bedrooms, financing status and timeline — each needs a defined destination field, not a free-text dump into a "notes" box that no report can filter on.

Get this map agreed with whoever owns CRM data quality before go-live — retrofitting a mapping after hundreds of leads have gone into inconsistent fields is a much bigger cleanup job than defining it upfront.

Lead ownership: who gets the conversation

When a contact opts out, that status needs to actually stop future outbound messaging, not just get noted somewhere.

Reporting: making the data useful
