How to choose an AI chatbot for real estate

Processing portal leads, not just receiving them
A lead from a listing portal has already expressed interest in a specific unit, but rarely has enough information to route or prioritize correctly — budget range, financing status and timeline are usually missing. The chatbot's job is to close that gap immediately, in the first exchange, before the enquiry goes cold.
Be precise about how the vendor connects to portals. Bayut, Property Finder, Dubizzle and Reelly leads are typically brought in as a connectable feed, via email-ingestion, API or a listing sync — this is not an official partnership with the portal itself. Any vendor implying a certified Property Finder or Bayut "integration" should be asked exactly what that means technically.
Access to property data that stays current
Real estate chatbots fail publicly when they quote a price or availability that changed last week. Check whether the AI reads from your live inventory (CRM, listing feed or property management system) at conversation time, or from a document it was trained on once and never updates. Ask how often that data source refreshes and what happens when a unit is marked sold mid-conversation.
Qualification fields that match how your sales team works
Generic lead capture ("name, email, phone") is not qualification. For real estate, useful qualification typically includes purpose (buying or renting), budget range, preferred area(s), unit type and bedroom count, financing or cash status, and timeline to transact. The chatbot should ask these conversationally — not as a rigid form — and store them as structured fields your CRM can filter and report on.
Multilingual quality, not just translation
In UAE and wider GCC markets, buyers and tenants message in Arabic, English, or switch between both mid-conversation. The bar is not "does it support Arabic" but "does it qualify naturally in Arabic" — understanding colloquial phrasing, not just literal translation of a fixed script. Ask for a live example in Arabic, not a demo that was pre-translated.
Booking viewings against a real calendar
Once a lead is qualified, the next step is usually a viewing. Check whether the platform actually books against agent availability (with conflict checking), sends confirmations and reminders, and handles reschedules and no-shows — or whether "booking" just means collecting a preferred time that a human still has to manually coordinate.

The conversation should end with a clean handoff: the CRM record created or updated with the qualification fields, the transcript logged, a summary an agent can scan in seconds, and — where useful — a follow-up task assigned. The honest answer from any vendor is where the handoff happens and how much context the receiving agent gets — a good handoff includes the full qualification summary, not just "customer wants to talk to someone."
